Required Skills:

Customer service experience minimum 2 years

Excellent computer skills – word, excel, email. Avimark an asset

Critical thinking skills – attention to detail, thoroughness, timely response and problem solving

Able to multi-task and attend to details, organized, patient, understanding

Professional, friendly, courteous

Reception Duties:

  • Professional, friendly welcome to clients and pets – first impression counts!
  • Greet, weigh in and check in patient – advise Vet/tech appointment is here
  • Document brief reason for visit
  • Invoice, take payment, use of debit/credit machine
  • Go over any discharge instructions on invoice/prescription directions
  • Set up new client files
  • Schedule recheck appointments as necessary per Vet plans

Telephone Duties:

  • Booking appointments ; assessing urgency of appointment
  • Answering calls, taking notes & pulling files for Vet review
  • Advising clients of estimated costs for various procedures/regular annual vaccines
  • Food orders and diet refill requests; special orders
  • Prescription refill requests – pull file & document request for Vet review
  • Confirm/remind appointments for surgeries/drop-offs 1 day in advance. Go over hospitalization procedures and forms
  • Courtesy client reminders/follow-ups per vet requests – daily

 Office Duties:

  • Opening computers and processing end of day sales. Daily back-up required.
  • Filing, faxing, emailing and scanning files/documents.
  • Processing Pet Insurance forms
  • Unpacking of food and supply orders

 Other Duties:

  •  Cleaning front office, reception area on a regular basis
  • Sweeping, mopping floors if necessary throughout the day
  • Occasionally assist with patient restraint for: exams, blood collection, vaccines, and nail clips
  • Cleaning of cages, exam rooms (after each pet throughout the day)
  • Laundry, dishes
  • Lifting/carrying heavy pets or food, to and from the car or within the clinic (able to lift 40 lbs)
  • General outside maintenance: water plants, shovel if required, poop ‘n scoop
  • Other duties as required by Office Manager or Vets


Hours: Shift , plus every 2nd to 3rd Saturday
